Role Profile

ZSL’s Conservation and Policy Directorate has a new fixed term opportunity for a Department Coordinator to join our team, whose goal will be to support operational and administrative management across the whole department.

 

As the Department Coordinator, you will be a central part of ZSL’s conservation team, supporting a wide range of activities across the department. This role performs a vital enabling function for Conservation and Policy.

 

Reporting directly to the Director of Conservation and Policy, with a dotted line to the Head of International Operations, the postholder provides confidential coordination for key financial management processes, events coordination and communication.

 

You will need to have excellent collaborative and communication skills as you work with colleagues across different parts of ZSL UK and international teams. You will help new staff within the department become integrated, share communication and news, and support the organisation of meetings and events.

Confidentiality and integrity are key to this role as you will handle sensitive information at times and support important events and discussions.

 

NB: This is a 1-year FTC and open to a hybrid work set up.

Main Duties and Responsibilities

  • Support the Director of Conservation and Policy and the Senior Management Team to coordinate and organize department meetings, travel and activities.
  • Provide oversight of departmental invoicing and country transfers, liaising with managers and the ZSL Accounts Payable team as required to ensure accurate data entry, prompt approval and subsequent payment
  • Lead or support, the organisation of symposia, conferences, workshops, fundraising events and meetings for Conservation & Policy programmes.
  • Prepare monthly conservation highlights and keep the ZPD up to date to ensure all project information is the most up to date.
  • Support the Director of Conservation & Policy Director and Senior Management Team with special projects within C&P or collaboration with other ZSL departments.

Person Specification

  • Extensive experience with the management of administrative processes at a departmental level
  • Demonstrable experience with the management of financial processes
  • Prior administration and PA experience is essential.
  • Excellent communication skills with stakeholders at different levels.
  • An ability to manage competing priorities and delegate effectively is essential.
